Bluebeam Integration

Development Review & Bluebeam Integration

1.               Introduction.  For individuals who do plan reviews, markups, and approve plans and documents, our developers seamlessly provided an integrative solution that streamlines the entire process in real-time.  LAMA integrates with Bluebeam Revu to deliver a state-of-the-art development review and markup program.  Using Bluebeam Revu enables multiple people to edit plans at the same time.  Using LAMA, reviewers who are on Bluebeam Revu and reviewers who are not on Bluebeam can produce a unified document.

2.                Starting the Process

A.    Prerequisite.  You must have Bluebeam installed on your local computer.  For the integration to work, users also need the same Email address in both LAMA and Bluebeam.  Users should also make sure to be completely registered with Bluebeam (receiving a confirmation email) or they will not be successfully invited into sessions.

B.    At the beginning of the Staff Review event (or another appropriate review event), users will be prompted to select what documents (that have been previously uploaded and entered into the file) need to be marked up and sent to Bluebeam.  Below are screenshots of how that would appear in LAMA.  If there are no documents selected, a Bluebeam session will not be created, as there are no documents to be reviewed. 

C.    If there is a document that needs to be added into the Bluebeam session that was not selected by the prompt above, it can also be individually added using the properties of the document in LAMA's documents tab.  Select the Documents tab and review the documents in the Application Materials submitted.  Click on the file name.  Right-click on the file and select Properties.  The Documents Information window will appear.  Place a checkmark in the box, E-Plan Review Markup.

      At this time, the assigned reviewers of this project will be sent an Email informing them that they have been invited into a Bluebeam session. Below is a screenshot of the window where users can assign reviews in LAMA.  If a reviewer assignment changes, LAMA will communicate that change to Bluebeam, and the new reviewer will be invited into the Bluebeam session as well.

D.   There are many ways to access the associated Bluebeam session.  As shown by the screenshot below, click on the file in the Email, and Bluebeam will open to the associated session.  If you do not act on the email link right away or if you decide to enter the session at a later point in time, you can also double click the document in LAMA, and a pop-up will appear with the Bluebeam Sessions associated ID and a link to open to that session (shown below in the second screenshot).  Or, look for the session in Bluebeam's list of available sessions at any point, and you will be able to access it from there.

3.             Moving Along in the Process

A.       Once Bluebeam is open, select the file document to be reviewed.  The plan will appear on the screen. 

B.       Add comments and markup using Bluebeam tools.

      Comments are shown in detail in the table below the drawing.  These comments will be transferred to LAMA and placed into your final document when the reviewing process is finished and finalized.

      If a reviewer is assigned to multiple divisions, they can select a division for their specific comments to be associated with in the Division custom column in the comments table in Bluebeam.

    After all comments and markups are complete, close Bluebeam.  The session updates in real-time, so there is no need to do any

    saving of the documents. Every hour, LAMA will pull the comments from Bluebeam and they will be available in the review comments

    window for viewing.


Note: All markups and editing are in real time.  Multiple people can collaborate and edit at the same time, seeing each others edits. Users  cannot edit or delete other user's comments.


4.                   Ending a Session

   A.       Go to the Review Tab and change the status to Complete.

   B.       Proceed to Events and mark the review as Complete.

  Everyone that has been invited must complete their review and comments.  Once completed, these comments get pulled one last time into        LAMA.  If you are not a Bluebeam user, just add your comments to the window in LAMA.

Your Bluebeam Session is closed when all reviews are signed off. Your files in Bluebeam are then automatically flattened and uploaded into the documents section in LAMA.

5.                  Accessing Your Saved Bluebeam File in LAMA

  A.  Go to the Documents Tab -> Staff Markup.

  B.  Double-click on the title to bring up the .pdf drawing and markups.  Your edits and comments are on the drawing, along with everyone's comments.


6.                 Adding Comments in LAMA without Bluebeam

            A.       If you are not a Bluebeam user, comments are added in LAMAs Comment window. Select the Plan Review Name from the Reviews tab.

B.       Select your Division (Fire -> Add Comment) and proceed to add your comment.

7.                Generate Comment Document

To generate a document with comments, select Generate Document from the toolbar. A prompt window will appear. Select the Status of the Comments (Approved Only, Open, Withdrawn, Resolved) and Divisions to be included in your document. Select OK.
